Exhibitor Dismantling
Dismantling will begin at 2:00pm on Wednesday, June 11 and must be completed by 12:00pm on Thursday, June 12.
(It is prohibited to dismantle exhibits prior to the official closing of the exhibit hall.) |
Exhibitor Registration
Exhibitors are required to submit registration forms for each company representative that plans to attend SLEEP 2008. Registration forms must be submitted by May 21, 2008. Any registrations received after this date will require on-site registration procedures and must provide payment by cash, check, or credit card. Late or on-site registrations cannot be invoiced. Each exhibiting company receives one complimentary, exhibitor full-meeting badge, which allows admittance to all general sessions and the exhibit hall. Four exhibit hall only badges will be provided for each 10’ x 10’ booth rented (up to a maximum of 20 badges). Additional badges may be purchased at the following rates: $50 for an exhibit hall only badge, and $350 for an exhibitor full meeting badge. No refunds on purchases of additional registrations are possible after May 21, 2008.
Hotel Reservations
All hotel reservations must be made through the SLEEP Housing Bureau. You may download the SLEEP Housing Form or make your reservations online. If you require a block of 10 or more guestrooms, you must receive approval from the APSS. Please submit the Housing Request Application to Amber Josi, Meeting Planner, at ajosi@aasmnet.org.
At SLEEP 2008
Exhibitor badges and materials will be distributed at the SLEEP 2008 Registration Desk in the Pratt Street Lobby of the Baltimore Convention Center. For your protection and the security of your booth materials and equipment, badges are required for entrance to the exhibit hall. Individual representatives are encouraged to pick up their own badges; the primary contact, however, may elect to pick up all of the badges for the exhibiting company and distribute them to each representative prior to entering the exhibit hall. SLEEP meeting staff cannot be responsible for locating the primary contact in order to allow other representatives’ entrance to the exhibit hall once he/she has taken all of the badges. Your exhibitor badges must be worn at all times during SLEEP 2008. Insertion of business cards in place of the official SLEEP badge is unacceptable. No one under 16 years of age may enter the exhibit hall at any time. Please note that on-site substitutions of representatives will only be permitted with the approval of the primary company contact. In these instances, be prepared for processing delays. Prior to the meeting, revisions to your list of attending representatives must be made in writing to the APSS Meeting Department by May 21, 2008.
Lead Retrieval Systems
The APSS offers lead retrieval systems from Conference Technology Enhancements, Inc. (CTE), which will enable exhibiting companies to easily gather contact information from the attendees through a 2D barcode on their name badges. Detailed information and an order form for lead retrieval services are available in the online exhibitor service kit.
Dress Code
The dress code at SLEEP 2008 is business casual. All representatives of exhibiting companies are required to adhere to this dress code; the APSS reserves the right to remove any exhibitor who does not comply with this dress code from the exhibit hall or meeting space.
Photography and Video Recording
Photography or video recording, other than by the official photographer or registered press, is prohibited during installation, exhibition and dismantling. No camera of any kind will be allowed on the exhibit floor or in the meeting rooms during these times. Exhibitors have control over their rented space and may prevent those considered their competitors from gaining access to photographing, videotaping, or otherwise mechanically recording their exhibits or presentations. Violation of this rule could result in the confiscation of the film, deduction of points or the removal of the individual from the exhibit hall or meeting room.
Distribution of Bags
The distribution of bags is permitted provided they meet the following requirements:
- Bags must be plastic. Canvas, nylon, and duffel bags are not allowed.
- Bags can measure no larger than 14” x 14”.
- Company name and logo may be printed on the outside.
Independent Service Contractors
Exhibitors may opt to use independent service contractors for installation and dismantling of exhibit booths. If such contractors are used, the exhibiting firm has the responsibility of notifying the APSS in writing using the form contained in the Exhibitor Service Kit. Without such notification, the independent contractor will not be permitted to set up your booth. Independent service contractors are responsible for notifying the APSS of the booths they will be working in and must provide proof of insurance coverage by May 1, 2008. Communication with an independent contractor, including the rules and regulations of this prospectus, service kit and all other exhibit information is the responsibility of the exhibiting company with which the APSS has a contractual agreement.
Independent Service Contractors must wear a badge in order to access the exhibit hall for booth installation. Contractors may pick up a badge at the SLEEP 2008 exhibitor registration counter located near the Pratt Street entrance of the Baltimore Convention Center.
